Do you sit down to check email “For a Minute” and the next thing you know, an hour has passed? You’re not alone. Professionals in America spend more than 40% of the workday on email and information storage (A third of this time is considered wasted). This amounts to $300 Billion in lost productivity, according to Cohesive Knowledge Solutions, Chief Executive Mike Song, Co-Author of “The Hamster Revolution: How To Manage Your E-mail Before it Manages You.”

Here is a checklist for you to use to improve your Message Management:

  • Is an email truly needed?
  • Is the email targeted to the proper recipient(s)?
  • Are you hitting “Reply All” or “CC” Unnecessarily?
  • Ask yourself, would a phone Call be more efficient.
  • Write a Strong Subject Line Explaining the e-mail’s purpose.
  • Be CLEAR in the email body.
  • Have 3 parts to the email (Action, Background, and Close).
  • Read and Respond to Emails in batches (Not Every time a new email arrives).
  • Coach your colleagues and clients to communicate CLEARLY!
  • Remove yourself from mailing lists you don’t find useful for work.
  • Sort emails in folders by topic (or client) for easy retrieval.

In addition, try something NEW and CUTTING EDGE… “Phone Fridays”! This is something I have been working on (Unofficially) shutting my computer off on Friday and actually having “Face to Face” meetings, or picking up the phone and “CALLING” co-workers and clients. It is AMAZING the amount of work you get done with old-fashioned “Face to Face” and “Phone” conversation. Start this concept on Fridays and watch the trend of “Face to Face” and “Phone” conversation grow throughout the week.

After all, for being in the communications business I find, we are the least efficient communicators.
